Seller's handbook
What Revial is, when to use it and when not to, and how it fits each stage of a sale — the orientation page for a new seller.
Revial is a sales aid. It supports customer work in every meeting, face-to-face or remote. In face-to-face meetings it uses your phone's or computer's microphone; in remote meetings it joins through Teams, Google Meet or Zoom. Revial writes the notes and the summary automatically, moves the essentials into your CRM, and helps you prepare for the next conversation.
It works in the background with no extra effort from you. You no longer take manual notes — you can give the conversation and the customer your full attention.
When to use Revial
Revial is primarily for sales meetings with customers, whether in person or remote. It also works in internal meetings, such as team meetings, where that is useful.
Do not use Revial for:
- HR matters, co-determination negotiations, disciplinary matters, or occupational-health matters
- private conversations
- any meeting where the participants do not consent to it being recorded
How Revial fits the sale
Stage 1 — the briefing before the meeting
Revial sends you a briefing automatically before every meeting — by default 24 hours ahead, though your organisation can change the timing. You can also see every meeting's material under Briefings in the left-hand sidebar.
Mark Revial as "not spam" the first time a briefing arrives, or later ones may be filtered before you see them.
The briefing material includes:
- a summary of the customer and their situation, compiled from public sources such as company websites and recent news
- suggested key themes and questions for the meeting
- possible objections worth preparing for
- highlights from previous meetings, with notes available in the CRM
Stage 2 — the meeting
In face-to-face meetings Revial records through your phone or laptop microphone. In remote meetings it joins automatically as a bot participant.
In both cases you need the customer's consent before you start recording. See asking the customer for consent.
Step-by-step instructions are on starting an in-person meeting and starting an online meeting.
Stage 3 — summary and CRM
Right after the meeting, Revial produces a summary and analysis of the conversation within a few minutes. From the summary view you get:
- a summary of the conversation and the main observations
- the challenges and buying signals identified
- suggested next steps
- a coaching analysis for the seller
- the Ask about the meeting feature
You can copy the ready-made summary straight into your CRM. If your organisation has a supported CRM connected, it can go across automatically — see CRM settings.
Changing the playbook afterwards
If a meeting was recorded with the wrong playbook, you can change it afterwards from the summary view. Revial regenerates the summary and coaching analysis automatically.
Ask about the meeting
Every meeting's summary view has an Ask about the meeting field, where you can ask Revial to write a follow-up message, summarise for management, or answer any other question about that meeting.
Sharing the recording and the notes
You can download the meeting's audio recording from the summary view and share it with the customer if you want. Alternatively, send the customer a summary straight from Revial — for example a concise message generated with Ask about the meeting.
Recording after the fact
If a meeting has already happened and Revial was not there, you can still transcribe and summarise it afterwards by dictating. This works well after a lunch meeting, for example.
- Open Revial and press Manual recording
- Choose the playbook and enter the customer's name
- Press Start recording and say the main points of the meeting out loud
- Stop the recording when you are done
- Revial produces the summary and suggests next steps automatically
- Send the details to your CRM

About playbooks
The playbook determines what Revial follows and highlights during and after a meeting. It steers the content of the summary: which questions are covered, what information is picked up automatically for the CRM, and how the meeting is assessed in the coaching analysis.
A meeting recorded with the wrong playbook produces a summary that does not match what the meeting was actually for. A first-meeting playbook looks for different things than an account-management playbook. Choose the playbook that fits the meeting type before you start recording — or change it afterwards.
Examples of playbooks:
- First meeting — maps the customer's situation, needs, decision-makers and timeline
- Second meeting — deepens the needs analysis and handles objections
- Proposal stage — follows pricing discussion, competitor comparison and the decision-making process
- Account management — follows customer satisfaction, upsell opportunities and contract status
Who manages playbooks? Playbooks are created and edited by your organisation's platform administrators. An individual user cannot edit a playbook's content, but can choose the one that fits from the available options. If you need changes or new templates, contact your administrator.
Checking upcoming meetings
Use the Meetings view as your checkpoint. It shows which meetings Revial is due to join over the next 7 days, and lets you remove Revial from an individual meeting with Disable bot.
Support
Contact support@revial.ai, or use the in-app chat. Many organisations also nominate a Revial champion per business unit who collects questions and passes them on.
